Importing licence notes
Licence notes provide a flexible way to store any kind of information on your licences. License notes can be useful for recording discussions with licensees, renewals, addenda, performance appraisals, or anything else you may want to monitor. Licence notes can be displayed on the Publisher's Summary Sheet document, making this a useful way to prepare for meetings, etc.
While licence notes can be entered manually, you can now import licence notes as well.
How to import notes:
1. Go to Importing, and select your spreadsheet (or other source file) with the license information that you wish to import.
The source data should be arranged with one row per note. To add notes to existing licences, the most accurate way of determining which which licence to import the note against is to include a column with the licence reference. (You can alternatively determine licences by specifying the licensee and title as this is usually unique; see the importing user manual for more details.)
Note-related information that can be imported includes: note date, note content, and note description. (Other note-related information such as attachment links, etc. cannot be imported and would need to be added manually).
2. In the mapping step of the import wizard, the following fields are provided for mapping note-related information:
2. In the mapping step of the import procedure, map:
... the licence-identification fields (e.g. licence reference)...
... and the note-related fields:
- NoteDate
- NoteDescription
- NoteText
Your licence notes will now be added.
